TERMS AND CONDITIONS
These Terms & Conditions form the agreement between Sabrina Dove Al-Khafaji (“the Organiser”) and the Participant (“you/your”) for any retreat bookings made with me. By booking and paying your deposit, you agree to these Terms & Conditions.
1. Booking and payment schedule
- A 30% non-refundable deposit of the total retreat cost is required at the time of booking to secure your place.
- A second installment of 30% is due 12 weeks before the retreat start date.
- The remaining 40% balance is due 6 weeks before the retreat start date.
- If you book within 12 weeks of the retreat start date, 60% of the retreat cost is due at the time of booking.
If you book within 6 weeks of the retreat start date, 100% of the retreat cost is due at the time of booking.
Individual payment plans may be arranged upon request and must be agreed in writing.
Accommodation and venue-provided services:
Where the retreat includes accommodation, meals, or other services provided by a third-party venue, the Organiser is facilitating access to these services as part of the retreat experience. Participants acknowledge that the Organiser is not the provider of these services and that the venue is responsible for their provision. Any issues arising directly from the venue (e.g., quality of food, room facilities) should be raised with the Organiser, who will liaise with the venue to address concerns.
2. Cancellations (by participant)
The Organiser understands that sometimes, things happen which mean that you will need to cancel your booking.
If for any reason you have to change or cancel your booking or event, please inform the Organiser as soon as possible by email to sabrinadoveyoga@gmail.com.
The 30% deposit is non-refundable under any circumstances.
If you cancel more than 12 weeks before the retreat: any additional payments made (beyond the deposit) will be refunded.
If you cancel between 6–12 weeks before the retreat: 50% of the retreat cost (minus the deposit) will be refunded.
If you cancel less than 6 weeks before the retreat: no refund will be issued. If full payment has not yet been made, you will be liable for the total cost of the booking.
You may transfer your booking to another person if you are unable to attend, provided you notify the Organiser in writing and the replacement is approved.
Participants who do not arrive on the scheduled trip start date will be considered no-shows and will not be eligible for a refund.
Once the trip has started, no refunds will be issued for any reason, including early departures.
3. Cancellations (by organiser)
Once your booking has been confirmed, The Organiser will make every effort to provide you with the retreat you have booked for.
In rare cases, it may be necessary to amend or cancel your booking. The Organiser will notify you of any alteration or cancellation as soon as reasonably possible.
If the Organiser cancels the retreat for any reason (including but not limited to minimum participant numbers not being met), you will receive a full refund of all payments made, including the deposit.
The Organiser is not responsible for refunding any additional costs such as flights, transfers, insurance, or personal expenses.
4. Extraordinary situations beyond my control
In the event of extraordinary circumstances beyond the Organiser’s control, the Organiser reserves the right to change or cancel bookings and will communicate alternate arrangements where possible. The Organiser accepts no responsibility for costs incurred, including flights.
Extraordinary circumstances beyond my control include war, threat of war, riots, civil disturbances, terrorist activity, industrial disputes, natural and nuclear disasters, fire, epidemics and pandemics, health risks, technical problems with transport including changes due to rescheduling or cancellation of flights by an airline or alteration of the airline or aircraft type, closed or congested airports or ports, hurricanes and other actual or potential severe weather conditions, theft and any other similar events.
5. Activities, weather and safety
Your safety and comfort are the Organiser’s priority. Surf lessons are dependent on suitable wave and weather conditions and will never take place in conditions deemed unsafe or unsuitable by instructors. If surf lessons cannot take place, a suitable alternate activity will be provided.
Venue-provided services:
Accommodation, meals, and other services provided by the retreat venue are facilitated by the Organiser but remain the responsibility of the venue. The Organiser is not liable for service issues arising directly from the venue, though reasonable efforts will be made to resolve any concerns.
Please note that weather conditions, including rain or high winds, may also affect yoga sessions and other scheduled activities. In such cases, we will make every effort to adapt or reschedule where possible.
6. Travel and insurance
You must hold valid and adequate medical and travel insurance. Proof of insurance may be requested prior to the retreat.
Please ensure that you:
- purchase travel insurance from the moment of your booking so you are protected in the unfortunate case of something arising before you travel, including any lost costs and flights;
- purchase full cover for flight cancellation, delay and curtailment, medical expenses and personal belongings, including valuables;
- ensure your policy covers any sports, including yoga and surfing, you participate in during the retreat (please note some insurances do not automatically extend to these).
Not having travel insurance cover is at your own risk, and the Organiser will not be liable to cover any costs or losses associated with travel cancellations or delays, sickness and injuries, or loss or damage to personal belongings.
Your passport must be valid for at least 6 months beyond your travel dates.
For international retreats, it is your responsibility to check with the government of the destination country on which visa you will need to obtain to enter, depending on which country you will be travelling from. The Organiser will not be liable for any costs incurred or losses associated with visa delays or refusals. Please make sure you arrange in plenty of time.
7. Health and liability
By booking, you confirm you are in good physical and mental health to participate in yoga, surfing, and related activities.
You agree to disclose any injuries, conditions, or relevant medical information to the Organiser prior to the retreat.
You will be required to sign a liability waiver acknowledging that:
- Yoga is not a substitute for medical advice or treatment.
- You participate at your own risk and will not exceed your personal limits.
- You accept that yoga and surfing carry inherent risks.
- Accommodation, meals, and other services provided by the retreat venue are the responsibility of the venue. The Organiser is not liable for issues arising directly from the venue.
The Organiser is not liable for injuries, accidents, loss of property, or events beyond reasonable control (e.g. weather or travel delays).
You understand that yoga and surfing carry inherent risks and agree to participate voluntarily and at your own risk.
8. Code of conduct
This retreat is designed to be a safe, inclusive, and supportive space.
Disruptive, unsafe, or inappropriate behaviour will not be tolerated and may result in removal from the retreat without refund.
9. Photography and media
Photos and videos may be taken during the retreat for promotional purposes.
If you prefer not to be photographed or filmed, please inform the Organiser in advance or at the start of the retreat.
10. Limitation of liability
This condition sets out the Organiser’s entire financial liability (including any liability for the acts or omissions of our employees, teachers, consultants and suppliers) to you in respect of: (a) any breach of contract; (b) any use made by you of the retreat or the services provided to or arrange for you; and (c) any representation, statement or tortious act or omission (including negligence) arising under or in connection with our contract or the retreat.
All warranties, conditions and other terms implied by statute or common law are, to the fullest extent permitted by law, excluded from our contract.
Nothing in these conditions limits or excludes my liability: (a) for death or personal injury resulting from negligence; or (b) for any damage or liability incurred by you as a result of our fraud or fraudulent misrepresentation.
The Organiser’s total liability to you in relation to you in tort (including negligence or breach of statutory duty), misrepresentation, restitution or otherwise arising in connection with our contract and the retreat shall be limited to the price you pay to us.
11. Acceptance of terms
By paying your deposit and booking your spot, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
12. Amendments
The Organiser reserves the right to update or modify these Terms at any time, with the amended terms posted on the Website. Any changes will take effect 5 days after they are posted. The most current version of these Terms can be accessed on the Website at any time and will be provided to you upon written request. You will be deemed to have accepted any amendments to these Terms 5 days after their posting on the Website.
